This Responsible AI Use Policy explains how AwardIQ uses artificial intelligence (AI) within the platform.

AwardIQ is designed as a deterministic compliance engine supported by an AI assistant. AI is used to enhance user understanding — not to make compliance decisions.

2. How AI is used in AwardIQ

AI in AwardIQ is used to support users by:

  • Explaining award rules and compliance outcomes
  • Translating technical results into plain language
  • Assisting with user queries and navigation
  • Providing contextual guidance based on system outputs

AI is designed to improve clarity, usability, and efficiency.

3. What AI is NOT used for

Critical distinction:

AI in AwardIQ is not used to:

  • Perform payroll calculations
  • Determine compliance outcomes
  • Interpret award rules independently
  • Replace professional judgement
  • Provide legal, payroll, or tax advice

All compliance results are generated by a deterministic rules engine, not by AI.

AwardIQ operates on two clearly separated layers:

Deterministic Engine

  • Applies structured rules based on Modern Awards
  • Produces consistent, repeatable results
  • Forms the basis of all compliance outputs

AI Assistant

  • Explains how and why results were generated
  • Helps users interpret outputs
  • Does not alter or influence calculations

This separation ensures transparency and reliability.

While we aim to provide high-quality AI assistance, AI responses may:

  • Be incomplete or simplified
  • Contain inaccuracies
  • Lack full context of your business or data

AI outputs should be treated as guidance only. Users should not rely solely on AI responses when making compliance decisions.

Users are responsible for:

  • Ensuring data uploaded to the platform is accurate
  • Seeking professional advice where required

AwardIQ is a tool to assist decision-making — not replace it.

  • Relevant contextual system data required to generate explanations

AwardIQ is designed to minimise the use of personal information in AI processing.

Users must not input sensitive personal information, including:

  • Tax File Numbers (TFNs)
  • Dates of birth
  • Residential addresses
  • Bank account details

Where AI services involve third-party providers, reasonable steps are taken to ensure data is handled securely and in line with applicable privacy standards.

8. No training on customer data

AwardIQ does not use customer data to train AI models unless explicitly stated and consented to.
